RockWise HRMS - The Personnel System

The personnel module keeps track of personal data including full name, date and place of birth, nationality at birth and current nationality, employment date, education level, marital status, language proficiency, references, working location, professional experience, basic salary, subordinates, and employee’s legal documents (resi¬dency card, work permit, driver’s license, passport, visas, and many others).

The system keeps a record on employee’s current and permanent addresses, job transfers, travel expenses, warnings, awards, sanctions, promotions, demotions, griev¬ances, training, leaves and loans management. Moreover, it tracks salary changes, defining job titles and positions, defining grades and sub-grades, defining skills and associates them to specific jobs. It also manages work accidents, disabilities, leaves, disciplinary, rehiring and retirement.

Key Features:

  • Manage an exhaustive list of employees’ information including names (both in Latin and Arabic), the way it appears on the passport, photo, date and place of birth, current and permanent addresses, emergency contacts
  • Manage employee grade, job position, office location, employee’s business phone number, personal home and cellular numbers, email, military service, and others
  • Process daily transactions through a Workflow business process whereby the administrator defines the user access of each function and the approval process of each
  • Issue personalized ID card using specialized printers
  • Keep a list of projects implemented by an employee within the organization
  • Generate company directory by name, by branch / department, and location
  • Keep a log on dependents’ information in terms of relation, age, education, disabilities, eligibility for social benefits, etc.
  • Manage expiry of legal documents including visas and work permits, residency cards, driving licenses, etc.
  • Generate organizational charts
  • Manage different types of employee contracts (permanent, contractual), and corresponding benefits.
  • Manage employee’s grievances, awards, sanctions, probations, and disciplinary actions
  • Manage appraisals through 3 techniques, Self-appraisal, Top-Down and Bottom-up
  • Manage training, continuous education, career development and succession planning for each grade/position. Includes creating approved vendors, a catalog of courses (both internal and external), individual development plans and enrollment into courses, delivery of courses through classroom, recording progress of training
  • Manage all documents through interfacing with the Document Management System
  • Other sub-modules: leaves management, loan management, staff/labor timesheets, project costing, travel and expenses, disciplinary management, budgeting, performance monitoring, continuous education compensation, internship affiliation programs with educational institutions
